Description:
The Grants/Finance Associate provides support for the grant and finance functions of the Foundation.  In addition, the Grants/Finance Associate supports the Foundation’s computer network and other administrative related activity requiring independent analysis, judgement, and knowledge of the Foundation’s operations and grantmaking. The Grants/Finance Associate position reports to the Director of Finance. The successful candidate must be highly organized, detail oriented, and must be able to function well as a participant in a small, highly motivated team of individuals.

Responsibilities include:
1. Grants Administration – Under the supervision of the Program Director: Respond to inquiries for Foundation guidelines/application procedure; Assist the Program Director in maintaining relationships with and responding to inquiries from potential and existing grantees; Maintain comprehensive grant files; Manage the administration of the grantmaking process:Prepare annual letters for fiduciary relationship confirmation
2. Finance  Administration – Under the supervision of the Finance Director: Aid the Director of Finance with the finance and accounting functions of the Foundation including accounts payable and financial reporting to the board of trustees; Produce various year-end reports for annual audit and 990PF: future grants payment commitments, refunds, historical contributions, etc.; Schedule and coordinate grant payments in consultation with the Director of Finance and the Program Director; Prepare reports in Excel: grants committed by mission worksheet, strategic grant plan worksheet; Handle grantees’audit inquiries from accountants re. grants paid to grantees; Maintain Trustee attendance chart, calculate and administer the Foundation’s Matching Gifts Program and Meeting Reserve Program; Respond to requests for updates from outside organizations (Foundation Center, COF, CMF, etc) for financial information; Ensure the preparation, copying and mailing of the Finance Committee and Board meeting materials
3. Technology Administration: Work with the Director of Finance to support the Foundation’s computer system and assure that all applications are functioning properly with support from IT consultant; Maintain backup planning and response as required; Maintain records of computer expenditures and replacement timelines; Under direction of Program Director and Director of Finance maintain and update the Foundation’s Web page
4. Other: Assist with the archiving of Foundation records; Coordinate the publication of the Foundation’s biennial report; Work closely with other staff to effectively coordinate overall operations of the Foundation; Assist in general office administration as required; Exercise a very high degree of independent judgment, tact and discretion in the execution of assigned responsibilities

Requirements:
Bachelors degree preferred.  Experience and high-level skills with Microsoft ACCESS, EXCEL and accounting software.  Good communication skills.  At least three years of experience in a professional office environment.
